1. Overview

This policy explains how SonniTech Solutions LLC (“SonniTech”, “we”) handles information in the Labidental platform (the “Service”). We collect only what we need to run the Service for dental laboratories and their dental offices.

2. Information we collect

• Account information — name, business name, email, phone, and login credentials (passwords are stored hashed, never in plain text).
• Business data you enter — cases, dental offices/clients, products and prices, invoices, inventory, and uploaded files or scans.
• Limited case references — a case may include a patient reference (such as initials or a chart number) provided by the dental office. We ask that you avoid entering unnecessary personal health information.
• Call records — if you use the AI phone assistant, we log call metadata and summaries so the lab has a record.
• Technical data — basic logs needed for security and to keep the Service running.

3. How we use information

• To provide and operate the Service and its features.
• To sync your data across the desktop app, cloud portal and mobile app.
• To send transactional messages (for example case notifications and account emails) according to your notification settings.
• To secure the Service, prevent abuse, and comply with the law.

We do not sell your data, and we do not use it for advertising.

4. Service providers

We use trusted providers to run the Service, who process data only on our behalf: cloud database and hosting, cloud file storage, email delivery, phone/AI calling, and — if you connect it — payment processing. Each processes data under its own security and privacy commitments.

5. Data separation & security

Each laboratory’s data is logically separated so labs do not see one another’s information. Sensitive integration credentials are encrypted. Access is protected by accounts, roles and permissions. No system is perfectly secure, but we take reasonable measures to protect your data.

6. Health information

Labidental is a business tool for laboratories and offices, not a patient-facing service. Where health-related regulations (such as HIPAA in the United States) may apply to a dental office’s data, the dental office is responsible for its own compliance obligations. If you require a Business Associate Agreement (BAA), contact us to discuss.

7. Data retention

We keep your data for as long as your account is active and as needed to provide the Service. You can request an export or deletion of your data; some records may be retained where required by law or for legitimate business purposes.

8. Your choices

• Update your account and business information at any time in the portal.
• Choose which notifications you receive.
• Request access, correction, export or deletion of your data by contacting us.

9. International

The Service is operated from the United States and data may be processed there. By using the Service you understand your data may be processed in the United States.

10. Changes

We may update this policy. Material changes will be announced through the Service or by email, and the “last updated” date above will change.
